Office is still one of the biggest line items for knowledge businesses, yet week-to-week utilization is uneven. In 2025 the question isn’t whether hybrid is here to stay—it’s whether your office strategy supports it with the right mix of fixed and flexible capacity. Leaders who “right-size” their HQ and add a curated flex buffer are cutting wasted space while making collaboration more predictable.

Why right-size now

Fixed offices carry rent and operating costs—electricity, maintenance, cleaning—even when seats sit empty. At the same time, employees expect professional, near-home options that reduce long commutes without sacrificing privacy or focus. Peaks vs. averages (the operating reality)

Five moves to execute (as practices, not a checklist)
  • Model demand, not headcount. Track attendance patterns, peak days, and team cadence to understand true capacity needs—and where a flex buffer would smooth peaks.
  • Understand your employees’ needs. Where they live, what is the role of WFH, what does it mean in terms of productivity, what is a good environment for task-oriented work
  • Design HQ for purpose. Fewer desk rows; more team rooms, reliable AV, good acoustics—spaces that make co-creation frictionless.
  • Create a local network. Offer near-home and near-client options that meet ergonomic and quality standards, inspiring location for teamwork on peak days, and steer usage to a short list of recommended hubs.
  • Make co-location visible. Let people see where colleagues plan to be to optimize HQ utilisation, enable team bookings, and support encounters in the flex network hubs.
  • Measure and iterate. Review utilization, peak spread, no-show rates, commute/CO₂, and cost per employee monthly; adjust the mix quarterly. 

 

Bottom line

Right-sizing swaps excess area for adaptability. A smaller, better HQ plus a guided network produces lower costs, a better employee experience, and a smaller footprint—while keeping collaboration reliable week after week.
