Case Study: Reducing office size with a new way of working

Most companies are in the middle of a change that will ultimately allow us all to work more flexibly. Spacent is one of the enablers of that change – and we helped one the biggest companies in Sweden to leverage it with their new hybrid workplace strategy.

Conditions and requirements of the case:
    • 1500 employees in the case company
    • 500 working desks at their office
    • A need to handle peek usage
    • A goal to provide a professional working environment for all employees
    • Get data on office utilisation levels

A key requirement of the case was to provide a good working environment for all employees, since not all of them could work from home. This was one of the main drivers for us having had worked so hard with building the Spacent external network, trying to match the geographical locations with where people live and need the workspaces.

Our approach & results:

We simulated different future hybrid workplace scenarios for the case company, based on the client’s real data. Based on the simulations, we were able to present the following key results of a hybrid workplace model that includes working from home, the office and third locations:

  1. 1,3 MSEK / month savings due to smaller office footprint
  2. 6 000 m2 saved in office size (the company could plan for an office with 10 000m2 instead of 16 000m2)
  3. 500 000 kg less CO2 emissions per year
  4. More than 1 week worth of time saved from commuting per employee each year

Spacent’s solution to hybrid workplace allowed the client to start with their hybrid workplace without heavy research or need to know the exact requirements for the future. Instead, they can now gather data, experiment, iterate and refine the solution over time. Since the Spacent’s solution is based on a mobile application and requires zero technical hardware, it is easy to take into use and modify when needs change. Also, if there is anything we know for sure, it is that the needs for hybrid workplace will change and companies need to be able to react quickly.

Next steps:

The next phase of the hybrid workplace solution will be sharing offices internally between all business areas and companies within the company group. While it is a great development that employees get to work more flexibly, it will become increasingly important to support the interactions within and among teams. Based on the experiences with our clients, we at Spacent are improving our solutions to better address this need to enable teamwork with technology.
